Navigating Mylio Photos starts with understanding the tools and terminology. This section defines the standard tools and terms in this user manual. This chapter also includes a user interface overview of all menus, settings, and icons.

Actions Menu – Located at the bottom of the right sidebar on computers and tablets, and in the bottom bar on mobile devices. Opens a menu of actions for your current selection, such as Move to Folder, Delete, and Open With. On computers and tablets, the icon appears as three vertical dots. On mobile, it appears as three horizontal lines inside a square . You can also access these options by right-clicking on a photo, video, or folder.

Activities – Located in the top app bar. Opens a panel showing background processes such as syncing, scanning, and facial recognition. The icon appears as a circle outline with a horizontal zigzag line inside it, similar to a heart rate monitor waveform. The circle appears blue when activity is running and grey when idle.

Add Media – Located in the top app bar. Opens options to import photos, videos, and documents into your Mylio Photos Library. The icon appears as a circle outline with a plus (+) symbol centered inside it.

Add New Album – Located in the right sidebar when viewing Albums. Creates a new album for organizing selected photos and videos without changing their folder locations. The icon appears as three stacked rectangles, slightly offset as if receding into the background, with a small plus (+) symbol in the lower corner.

Add New Event – Located in the right sidebar when viewing Calendar View. Creates a new event, which is a date-based collection used to organize and browse your library chronologically. The icon appears as a calendar page with a small plus (+) symbol in the lower corner.

Add New Folder – Located in the right sidebar when viewing Folders View. Creates a new folder on your computer or connected drive. Folders organize files by their physical location in the file system. The icon appears as a folder outline with a small plus (+) symbol in the lower corner.

Add New Person – Located in the right sidebar when viewing People View. Adds a new person to your People collection so you can tag faces and associate them with a name. The icon appears as a person silhouette with a small plus (+) symbol in the lower corner.

All Photos – Located in the left sidebar (bottom bar on mobile). Displays every photo, video, and document in your Mylio Photos Library, regardless of folder or album organization. The icon appears as a photo outline with a mountain inside.

Annotations – When enabled, displays graphic overlays on images and containers (such as Albums and Folders) in Grid view. Overlays can include ratings, titles, captions, dates, fuzzy dates, GPS information, and options such as Tap to Categorize, and Tap to Sync. Enable Annotations from the More menu in the top app bar.

Auto-Advance – When enabled, automatically moves to the next image after you rate, flag, label, or tag faces. Turn on Auto-Advance from the Rating and Tagging panel in the right sidebar.

AutoColor – Automatically adjusts color balance and contrast to improve an image, especially useful for faded or historical photos. Access AutoColor from the Edit panel in the right sidebar. The icon appears as a droplet with small sparkle accents above it.

AutoEnhance – Automatically improves exposure (brightness) and color to enhance most images with a single click. Access AutoEnhance from the Edit panel in the right sidebar. The icon appears as a magic wand with sparkle accents.

AutoTone – Automatically balances the lightest and darkest areas of a photo to improve depth and contrast. Access AutoTone from the Edit panel in the right sidebar. The icon appears as a half-filled circle with sparkle accents above it.

Albums – Virtual collections that group and organize photos without changing their physical folder location. A single image can belong to multiple albums.

Albums View – Located in the left sidebar (bottom bar on mobile). Displays and manages Albums, allowing you to create, organize, and customize virtual collections. The icon appears as stacked photo rectangles.

Auto-Mark – When enabled, automatically reviews similar photos found by Photo DeClutter and Photo DeDupe, then marks the best image to keep based on your selected criteria. Other similar photos are marked for removal or deletion.

Batch Face Tagging – Access from the Tools icon in the left sidebar (computer and tablet only). Quickly tag multiple photos of the same person in one streamlined workflow. The batch face tagging icon appears as two person silhouettes with a focus frame centered over the front figure.

Cache – A temporary storage area used when device sync settings are adjusted. The cache stores local copies so you can work without an internet connection and allows devices on your network to operate independently. It can be cleared at any time to free up space.

Calendar View – Located in the left sidebar (bottom bar on mobile). Displays your photos on a calendar and integrates them with life events. The icon appears as a calendar page with two tabs at the top. See also LifeCalendar.

Catalog – See Mylio Photos Catalog.

Catalog Only (sync policy preset) – A sync policy preset that stores only thumbnails and metadata on a device, using the least amount of local storage. Full-resolution files must be downloaded from another synced device that is online. Best suited for devices with limited storage or when quick browsing access is sufficient.

Categories – Labels used to organize media by purpose (such as work, personal, or family). Categories can be assigned to Calendar Events, Folders, Albums, People, and individual media, and are fully searchable. Categories also power Spaces, allowing you to show or hide specific types of content to create focused workspaces.

Copy Folder Contents – An option in the Add Media dialog that duplicates selected media and places a copy in your Mylio Photos Library. The icon appears as two overlapping rectangles, representing a copy.

Cover Photo – A custom image used to represent a Folder, Album, Event, or Person. Set a Cover Photo by right-clicking an image and choosing Set Cover, then selecting Folder, Album, People (People view only), or Event.

Chromeless – Hides all interface elements so you can focus on your photos. Enable Chromeless from the View menu in the operating system menu bar (computer only).

Crop – Refines composition by trimming edges or rotating an image to correct alignment. Cropping is non-destructive and can be adjusted at any time. Located in the right sidebar (computer and tablet) and in the bottom bar (phone) when viewing a single photo. The icon appears as a square crop frame with curved rotation arrows around it.

Dashboard – Located in the left sidebar (computer and tablet) and in the top app bar (phone). Displays an overview of your library, including Getting Started tips, Notifications, recommended actions, connected devices, library statistics, and Help. The icon appears as a speedometer-style gauge inside a rounded shape.

Date Range – Allows you to assign a span of dates to a photo when the exact capture date is unknown. Instead of setting a specific date and time, you can define a beginning and ending date (for example, July–September 1986 or November 20–December 31, 2021). Useful for seasonal events or approximate timeframes.

Dedupe or Deduplication – See Photo DeDupe.

Details Panel – See Right Panel

Device – Any computer, tablet, phone, external drive, or cloud service connected to your Mylio account. Also refers to the Devices section in the Dashboard, where you can view and manage all connected devices.

Device Card – A summary panel for each connected device, shown in the Devices section of the Dashboard. Displays sync status and storage details. Click a Device Card to adjust sync policies. Access from the Dashboard > Devices.

Dynamic Search – Searches your library using keywords, dates, ratings, people, locations, and other metadata. Results update as you type. Located in the left sidebar (computer and tablet) and in the top app bar (mobile). The icon appears as a magnifying glass outline.

Edit Panel – Opens editing tools for adjusting photos, including presets and manual controls. Edits are applied non-destructively and can be changed at any time. Located in the right sidebar (computer and tablet) and in the bottom bar (phone) when viewing a single photo. The icon appears as three horizontal adjustment sliders.

Event – A date-based collection that groups photos captured on a specific date or within a defined date range. Events appear in Calendar View and help organize photos around meaningful moments, such as a vacation or celebration.

Everything (sync policy preset) – A sync policy preset that stores a complete copy of your Mylio Photos Library, including all original-quality photos, videos, and documents. Does not provide Vault-style sync status alerts. Commonly used for offsite storage or secondary devices. For full backup monitoring, use the Vault preset.

Export – See Share.

External Drive – A storage device connected directly to your computer using USB, Thunderbolt, or similar cables. Commonly used for expanding storage or creating backups. The icon appears as a rectangular drive with a small indicator dot and line on the front.

Face Tagging – Tags people in photos using facial recognition. Access from the right sidebar (computer and tablet) or the bottom bar (phone) when viewing a single photo. Helps group photos by person and makes them easier to find later. The icon appears as a person silhouette with a small focus frame over the face area.

Featured Photo – The highlighted image shown for each year, month, or day in Calendar View. Selected automatically based on Photo Prioritization, such as Event Priority and Star Rating.

File Inheritance – A folder setting that controls whether categories applied to a folder are automatically assigned to all media inside it, including subfolders and their contents. Enabled by default, File Inheritance can be turned off for individual folders. Access this setting in the Info Panel, in the Categories section, when a folder is selected.

Filmstrip – Displays a horizontal strip of thumbnails along the bottom of the screen, showing all media in the currently selected folder or album. Enable or hide Filmstrip from the More menu in the top app bar. The icon appears as a photo thumbnail inside a rectangular frame with small blocks along the bottom edge, resembling film sprockets.

Filter – See QuickFilters.

Flag – Adds a simple marker to a photo to indicate selection status. Access from the Rating & Tagging panel in the right sidebar (computer and tablet) or bottom bar (phone) when viewing a single photo. Flags can be set to Pick, Reject, or Unflagged.

Flutter – A quick preview feature that lets you browse the contents of a Folder or Album without opening it. Swipe right to left on touchscreen devices, use a two-finger right-to-left swipe on a trackpad, or hold shift while scrolling with a mouse.

Folder – Represents a physical folder on your computer, external drive, or other connected device that stores original photos and videos. Moving media between folders in Mylio Photos also moves the files on disk.

Folders View – Located in the left sidebar (bottom bar on mobile). Displays your folder structure as it exists on your computer and connected drives. The icon appears as a folder outline with a tab on the upper left.

Fuzzy Date – A non-specific date assigned to a photo, such as a Season, Year, Decade, or Undated. When Annotations are enabled, a small icon appears on the image indicating a fuzzy date. The icon appears as a circle outline containing two horizontal wavy lines, similar to the “approximately equal” symbol (≈).

Generated Images Bundle – A system-created folder on each device used to manage syncing. It stores thumbnails for your entire library and may include optimized images based on the device’s sync policy. On macOS, it appears as a file named Generated Images.bundle; on Windows, as a folder named Generated Images. Tampering with these files is not recommended and can lead to library corruption.

Geotag – GPS location data embedded in a photo that allows it to appear on a map. If an image does not include GPS data from the camera, you can manually add a location or coordinates in Mylio Photos.

Grid View – Displays multiple photos or videos as thumbnails arranged in a grid. Used for browsing and selecting media.

Grid Style – Changes how media is displayed in Grid View. Choose between Square, Tile, and Fluid from the More menu in the top app bar. The icon appears as a layout of one tall rectangle beside two smaller stacked rectangles.

Highest Rated (sync policy preset) – A sync policy preset that stores original-quality copies of your top-rated photos (4–5 stars or Pick flagged) on a device, along with thumbnails and metadata for the rest of the library. Other media can be downloaded on demand. Ideal for portfolio or showcase devices.

Import – See Add Media.

Info Panel – Displays and edits metadata such as title, caption, date, keywords, categories, and location. Access from the info icon at the top of the right sidebar (computer and tablet) or from the More menu (phone). The icon appears as a circle outline with a lowercase “i” inside.

IPTC Card – A panel used to add standardized ownership, copyright, and licensing metadata to your photos. Based on IPTC (International Press Telecommunications Council) standards for describing content and rights information.

Keyword – Searchable words or phrases added to photos to improve organization and make media easier to find. Keywords can be added during import or at any time later. The icon appears as a magnifying glass with a small tag inside the lens.

Labels – Color-coded markers used to organize photos and make them easy to filter using QuickFilters or Dynamic Search. Available colors include red, yellow, green, blue, and purple. Access from the Rating & Tagging panel in the right sidebar (computer and tablet) or bottom bar (phone) when viewing a single photo. The icon appears as a price tag outline.

Last Media Added View – Automatically displays the most recently imported media when an import is complete (enabled by default). To turn off, go to the More menu in the top app bar, then select Settings > General and toggle Last Media Added View off.

Learn Panel – Provides quick access to Mylio Photos educational resources and help without leaving the application. Access from the Learn icon near the bottom of the right sidebar. The icon appears as an open book.

Left Panel – Opens the left panel, which displays navigation tools relevant to the current view. For example, it may show the folder tree in Folders View, album navigation in Albums View, places by country in Map View, or QuickFilters for refining results. Located in the top app bar on phones and in the left sidebar on computers and tablets. The icon appears as a vertical panel with a right-pointing arrow.

Left Sidebar – The left sidebar on computers and tablets provides access to navigation and browsing tools, including Dynamic Search, views such as All Photos, Calendar View, Folders, Albums, People, and Map, the Spaces switcher, Workflow switcher, Tools, and the Dashboard. On phones, these options appear in the top or bottom bar, with additional items available in the More menu .

Library – See Mylio Photos Library.

LifeCalendar™ – See Calendar View.

Limited Access Mode – Restricts a device to a controlled, view-only or limited-interaction experience within a specific Space. When enabled, the device is locked to its assigned Space, private content remains hidden, and tools such as editing, deleting, and account settings are disabled or simplified. This allows others to safely view or interact with selected photos without making major changes. The icon appears as a person silhouette with a lock symbol.

Linked Folder – A folder added to Mylio Photos that remains in its original location and is continuously monitored for changes. New media added to a Linked Folder is automatically imported. Useful when other applications also reference the same files.

Link Folder – An option in the Add Media dialog that keeps media in its current location while displaying it in Mylio Photos. The icon appears as two small rectangles connected by a short line, representing a link.

Lost Original – Indicates that Mylio Photos cannot locate the original-quality version of a file. This typically occurs when the original file is deleted outside of Mylio before it has fully synced to another device. The icon appears as a photo outline with a question mark inside.

Map View – Located in the left sidebar (bottom bar on mobile). Displays photos by location on a world map using embedded GPS metadata. The icon appears as a location pin outline.

Menu Bar – See Operating System Menu Bar.

Metadata – Information stored with a photo that describes the file. Includes automatically captured details such as date, camera, lens, and settings, as well as manually added data like copyright, keywords, ratings, and more.

More Menu – Opens main settings and additional options. Located in the top app bar. The icon appears as three horizontal dots (an ellipsis).

Move Folder Contents – An option in the Add Media dialog that moves selected media to your Mylio Photos Library and removes it from the original location. The icon appears as four arrows pointing outward from a central square, indicating movement.

MYB Files – Special Mylio bundle files (.myb) created when importing certain Apple Photos or iOS media types, such as Live Photos, Portrait mode, or slow-motion videos. These files allow Mylio Photos to properly manage and sync media that contain multiple components. The icon appears as two circles surrounded by small radiating marks.

Mylio Clipboard – See QuickAlbum.

Mylio Drive – An optional feature included with Mylio Photos+ that provides unlimited cloud storage for Optimized Images. Allows secure access to your library across devices signed into your account. Content is encrypted, and Mylio cannot view your files. The icon appears as a hard drive with a small Mylio logo.

Mylio Drive+ – An optional add-on that provides encrypted offsite storage for original-quality photos, videos, and documents. Powered by Backblaze, it enables secure cloud syncing when paired with a SecureCloud storage plan and an active Mylio Photos+ membership. The icon appears as a hard drive with a small Mylio logo and a plus (+) symbol.

Mylio Photos Catalog – The database file that stores information about your Mylio Photos Library, including metadata and sync data. Each device running Mylio Photos maintains its own copy of the Catalog, which is required for the application to function.

Mylio Photos Library – The complete collection of your photos, videos, documents, edits, and metadata, accessible across all devices synced with Mylio Photos.

Mylio System Folder – A Mylio-created folder on each device used to store Mylio data. On computers, it is located at Users/~username/Mylio. On mobile devices, it exists but is hidden from users. The folder contains thumbnails within the Generated Images folder (Windows) or Generated Images.bundle (macOS), and may also include Optimized Images depending on the device’s sync settings.

NAS – Stands for Network-Attached Storage. A storage device connected to your network that provides centralized file storage, often with large capacity and built-in redundancy. Commonly used for photo storage and backups. The icon appears as a rectangular drive enclosure with small indicator marks on the front.

Navigate Back – Returns to the previous folder, album, or image. Located in the top app bar. The icon appears as a left-pointing arrow.

Notifications – Displays completed tasks and alerts that require your attention. Located in the top app bar. The icon appears as a bell outline.

Operating System Menu Bar – The system-level menu used to access application commands. On Windows, it appears at the top of the Mylio Photos application window. On macOS, it appears at the top of the screen.

Optimized Image – A medium-quality version of a photo designed to save storage space while maintaining good visual quality. Optimized Images typically use less than 5% of the storage required by the Original and remain fully editable. Raw photo data can also be preserved to support flexible editing. The icon appears as a nested square inside two circles.

Optimized Images (sync policy preset) – A sync policy preset that stores optimized-quality versions of all photos along with thumbnails and metadata. Videos and documents are not stored locally but can be downloaded on demand from other synced devices. Useful for browsing an entire library in moderate quality while using minimal storage.

Original – The full-quality version of a photo, video, or document. File sizes vary depending on resolution and format. Originals contain all available data and provide the highest quality for editing and export. The icon appears as a circle outline containing a solid square.

Peer-to-peer – A direct connection between devices on the same Mylio account that allows them to privately communicate and transfer files without using a central server.

People View – Displays photos organized by the people in them. Access from the People icon in the left sidebar. The icon appears as two person silhouettes.

Photo DeClutter – Helps identify and review similar photos, such as burst shots or near-duplicates, so you can keep the best image and remove the rest. Access from the Tools icon in the left sidebar. The Declutter icon appears as stacked photos with a checkmark.

Photo DeDupe – Scans your library to identify exact duplicate files. You can review the results and remove or delete unwanted copies. Access from the Tools icon in the left sidebar. The DeDupe icon appears as stacked photos with an “X” mark.

PhotoExplorer – Displays additional information about a photo using its embedded GPS metadata. When available, the PhotoExplorer icon appears as an annotation in the upper-right corner of an image in single photo view. Clicking the icon lets you view the photo’s location in Map View or perform a web search using the photo’s GPS coordinates. The icon appears as a compass.

Photo Prioritization – Determines how Mylio Photos selects featured images throughout the library. These settings influence which photos appear in the LifeCalendar, are used as cover photos for folders, albums, and people, are prioritized for local storage, and how metadata is merged during Photo DeDupe. Access Photo Prioritization settings from the More menu > Settings > Organization > Photo Prioritization.

Photo Sizes – See Thumbnail, Optimized Images, and Original.

Photos Only (sync policy preset) – A sync policy preset that stores original-quality versions of all photos along with thumbnails and metadata, as space allows. Videos and documents are not stored locally but can be downloaded on demand from other synced devices. Best for photo-focused workflows on devices that don’t require video or document access.

Pick Flag – Marks a photo as selected or approved. Commonly used to indicate images you want to keep or edit further. The icon appears as a flag with a checkmark inside.

Places – A section of the Info Panel that displays a photo’s location on a map and allows you to add or edit GPS coordinates.

Presets – Saved settings that can be applied quickly with a single click. Presets are used in several areas of Mylio Photos, including edit presets for photo adjustments, sync policy presets for device storage behavior, and export presets for saving files with specific settings.

Preview – See Optimized Images.

Protection – Refers to safeguarding your Mylio Photos Library by storing complete copies of your originals on Vault devices. A Vault can be any device with enough storage, such as an external drive, computer, or supported cloud storage. For proper protection, it is recommended to maintain two or more Vaults to guard against device failure or loss.

QuickAlbum – A temporary holding area used to collect photos while organizing or moving them between folders, albums, or other views. Previously known as the Mylio Clipboard. Access the QuickAlbum by dragging an item to the bottom of the screen, choosing Actions Menu > Add to > QuickAlbum (all platforms), or clicking the icon in the right sidebar (computer or tablet). The icon appears as a photo outline with a small lightning bolt.

QuickActions – Contextual tools that appear as icons overlaid on a photo in Single Photo View, typically in the upper-right corner. QuickActions provide fast access to common tasks such as navigating to the file’s location (Show in Folder ), viewing photos from the same date (Show in LifeCalendar ), or exploring location data (PhotoExplorer ). The QuickActions icon appears as a circular target with a cursor arrow.

QuickCollection – A saved group of QuickFilters that lets you quickly return to a specific filtered view of your library. Access QuickCollections by clicking the QuickCollection icon at the top of the QuickFilters list. The icon appears as three small squares connected by a lightning bolt.

QuickFilters – Filters that narrow the media shown in the current view based on criteria such as folder, date, event, file type, album, person, category, ratings, flags, labels, camera, lens, and more. Open QuickFilters by clicking the left panel icon (left sidebar on computers and tablets, top app bar on phones). On computers and tablets you can also click the funnel icon in the left sidebar.

QuickReview – A review mode designed to quickly sort through photos and identify your best images. You can keep, hide, or delete photos during the review process. Access QuickReview from the Tools icon in the left sidebar (computer and tablet), or from the More menu in the top app bar (phone). The QuickReview icon appears as a flag with a checkmark.

Rating – Opens tools for adding star ratings, color labels, and flags to photos. Access from the right sidebar (computer and tablet) or the bottom bar when viewing a single photo on a phone. These markers make it easier to find and organize images using search and filters. The icon appears as a price tag outline.

RAW – An image file format that contains the unprocessed data captured directly by a camera’s sensor. Raw files preserve the maximum amount of image information, allowing for greater flexibility during editing.

Reject Flag – Marks a photo as rejected. Often used during culling to identify images for deletion. The icon appears as a flag with an “X” inside.

Remote Control – Allows you to view and adjust settings on other devices signed in to your Mylio Photos+ account. Useful for managing syncing, settings, and views on devices used by family members or collaborators.

Right Panel – Opens panels for viewing and editing information about the selected item, including the Info, Edit, and Sync panels. Located in the right sidebar on computers and tablets, and accessible from the More menu on a phone. The right panel icon appears as a circle with a lowercase “i”.

Right Sidebar – The right sidebar on computers and tablets provides quick access to actions such as Rating & Tagging, Share/Export, Rotate, Face Tagging, Delete, Add New, Zoom, QuickAlbum, and the Actions Menu, along with the option to show or hide the Right Panel. On phones, these tools appear in the top or bottom bar, with additional options available in the More menu .

SafeShare – A toggle in the Share and Export dialogs that removes metadata from exported images. When enabled, SafeShare strips information such as camera EXIF data, captions, keywords, ratings, copyright, IPTC metadata, people tags, and location data.

Scan Scope – A setting used with Photo DeDupe filters that determines where Mylio Photos looks for duplicate files. Entire Library scans all media in the library for duplicates of the filtered items, while Within Results scans only the currently filtered selection.

Search – See Dynamic Search

SecureCloud – An add-on storage plan used with Mylio Drive+ that provides encrypted offsite storage for original-quality photos, videos, and documents. Designed for privacy-focused cloud backup while maintaining control of your data. The icon appears as a cloud with small Mylio icon beneath it.

Settings – Opens the configuration panel where you can adjust application options such as Appearance, Linked Calendars, Sync, and other preferences to customize Mylio Photos for your workflow. Access Settings from the More menu in the top app bar. The icon appears as a gear.

Share – Opens the Share and Export dialog for sending photos by email or social media, saving files to disk, printing, and other export options. Access from the Share icon in the right sidebar. The icon appears as a square with an arrow pointing outward.

Show in Folder – A QuickAction that navigates to the folder containing the selected photo. The icon appears in the upper-right corner of an image in Single Photo View. The icon appears as a folder with a small eye in the bottom-right corner.

Show in LifeCalendar – A QuickAction that navigates to Calendar View and displays photos from the same capture date as the selected image. The icon appears in the upper-right corner of an image in Single Photo View. The icon appears as a calendar outline with a small eye in the bottom-right corner.

Single Photo View – A viewing mode where one photo is displayed on the screen for closer inspection, editing, and metadata review.

SmartTag – Automatically generated tags that describe visual characteristics of your photos. Created during import, SmartTags can identify traits such as exposure, focus, color, and common subjects like animals, buildings, vehicles, and more. The icon appears as a microchip with “ai” inside.

Source – A section of the Storage Panel that displays the Import Source and Import Date for the selected media.

Spaces – Purpose-specific views that let you organize and control what media appears in different parts of your library. Spaces help reduce clutter and can include privacy controls such as passcodes and interaction settings for other users on your account. Spaces are driven by Categories, meaning you assign items to a Space by categorizing a file, folder, album, or person. The icon appears as overlapping rectangles.

SpaceSaver (sync policy preset) – The default sync policy for most computers, tablets, and phones. Stores thumbnails, metadata, and as many optimized-quality photos as will fit in the available storage space. Original files, videos, and documents remain on other devices and can be downloaded on demand. Designed to balance performance with storage efficiency.

Star – A rating used to rank photos from 1 to 5 stars, helping you organize and identify your best images. Access star ratings from the Rating & Tagging icon in the right sidebar (computer and tablet) or the bottom bar when viewing a single photo on a phone. The star icon appears as a star outline.

Sticky Zoom – An optional setting that keeps the same zoom level as you move between photos in Single Photo View. Enable it from More menu > Settings > Appearance > Use Sticky Zoom.

Storage Panel – A panel that displays storage-related details for the selected media, including its Sync Policy, associated files, and the location of the original file. Access the Storage Panel by opening the Info Panel and selecting the Storage tab at the top.

Sync – The process Mylio Photos uses to keep your library consistent across devices. When media or metadata is added or changed on one device, those updates are shared with your other synced devices.

SyncCollection – A collection used to assign custom sync policies for specific devices. SyncCollections give you precise control over which media is available on each device and at what quality.

Sync Panel – Displays your connected devices and current sync activity. Access the Sync Panel by opening the Info Panel and selecting the Sync tab at the top.

Sync Policy – Device settings that control how your Mylio Photos Library is stored on each connected device, including what media is available locally and at what quality.

Sync Policy Preset – Preconfigured device sync policies designed for common workflows and device types. Built-in presets include Catalog Only, Everything, Highest Rated, Photos Only, SpaceSaver, Travel Backup, and Vault. You can also create custom sync policy presets to match your workflow.

System Clipboard – Uses your operating system’s clipboard to temporarily store a copied photo so it can be pasted into other applications or image fields in a web browser. This provides a quick way to export images from Mylio Photos without creating a file export. The icon appears as two overlapping rectangles.

Tag – Information added to a photo or file to help describe and organize it. Mylio Photos supports several types of tags, including SmartTags, Face Tags, and Geotags.

Tap to Categorize – A quick way to assign a category to a container such as a Folder, Album, or Person. Tap the icon shown in the upper-right corner of the container and choose a category. The icon appears as a small list with three horizontal lines and dots. Available categories include Personal , Family , Family History , Work , Private , or Custom . Once selected, the icon updates to reflect the assigned category.

Tap to Sync – Lets you override the device’s default Sync Policy for a specific folder, allowing you to control what quality of media is stored locally on that device. The icon appears in the upper-right corner of folders in Folder View as overlapping squares with a small photo (mountain) symbol. When a custom setting is applied, the icon updates to indicate whether optimized images or original-quality files are stored locally for that folder.

Thumbnail – A small preview version of a photo used for browsing your library. Thumbnails take up minimal storage and are ideal for mobile devices but do not support editing. The icon appears as a small pixelated circle with a dot in the center.

Tools – Opens a panel with utility features for reviewing and organizing your library. Access from the Tools icon in the left sidebar to use Batch Face Tagging, Photo DeDupe, Photo DeClutter, and QuickReview. The icon appears as crossed tools (a wrench and screwdriver).

Travel Backup (sync policy preset) – A sync policy preset that stores original-quality copies of media added within the last three months, along with thumbnails and metadata for the rest of the library. Older media can be downloaded on demand. Recommended for travel to keep a recent backup of new photos without syncing the entire library.

Undated – Refers to a photo with no assigned date. Setting the Capture Time & Date to Undated in the Right Panel removes all date and time metadata from the selected images.

Undo – Reverts the most recent action. Use Cmd + Z (macOS) or Ctrl + Z (Windows), or choose Actions Menu > Undo from the right sidebar (bottom bar on a phone).

Unflagged – Removes any Pick or Reject status from a photo. The icon appears as a plain flag outline with no symbol inside.

Unprotected Files – Indicates that a file has not yet been backed up to all designated Vault devices. These files are at risk of loss if the device storing them becomes unavailable. Once the file is fully backed up to all Vaults, it is no longer considered unprotected. The icon appears as a shield with a line through it.

Unsupported Files – Files that Mylio Photos cannot import or read. While Mylio supports many file types—including photos, videos, and documents—some formats may not be compatible. The icon appears as a document with a wavy line inside.

User Role – Preset permission settings used within a Space on Mylio Photos+ Family or Team plans to control how others can view and interact with your library. Available roles include Viewer (basic), Viewer (extended), Child, Teen, Partner, Family History Collaborator, Photo Manager, Everything, Coworker, Coworker (trusted), Public Files, All Access, and Tech Support. These presets can be used as-is or customized to fit specific needs.

Unsynced Media – Media that has been recently added to your Mylio Photos Library but has not yet been fully synced across all devices. By default, Unsynced Media is marked as Private to prevent accidental sharing. You can change this behavior in Settings > Organization > Unsynced Media to apply a different category during the sync process.

Vault (device) – A device designated to store a full, original-quality copy of your Mylio Photos Library for backup and protection. A Vault can be a computer, external drive, NAS, or supported cloud storage. Mylio Photos monitors Vaults and alerts you if they become out of sync. The icon appears as a shield with a checkmark, indicating protected storage.

Vault (sync policy preset) – A sync policy preset that stores a complete, original-quality copy of your entire Mylio Photos Library. Vault devices are used for backup and data protection. Mylio Photos monitors Vaults and alerts you if one becomes out of sync. It is recommended to maintain at least two Vault devices for redundancy.

Workflows – Switches the interface to show tools relevant to a specific task. Choose from preset workflows such as Organizing, Photo Sharing, File Management, and more to streamline your workspace. Access from the Workflows icon in the left sidebar. The icon appears as a window layout with two panels.

XMP File – A sidecar file that stores additional metadata for a photo using the industry-standard Extensible Metadata Platform (XMP). Mylio Photos uses XMP files to store, sync, and transfer edits and metadata between devices without altering the original file. The icon appears as a document with a small photo (mountain) symbol inside.
