Limited Access Mode is a great way to share your Mylio Photos Library with others – like family, friends, or teammates – while keeping your most important content and settings safe. It’s perfect when you want someone to view or lightly interact with specific photos, but not make major changes.
When a device is in Limited Access Mode:
- It’s locked into its assigned Space—so the person only sees what you’ve shared with them.
- Private content stays hidden, even if it’s part of the Space.
- Tools like editing, deleting, and account settings are turned off or simplified, so nothing can be changed by accident.
This makes Limited Access Mode ideal for:
- Kids browsing family memories
- Relatives helping with a family history project
- Team members reviewing or tagging content
It’s a simple way to give others access without giving them complete control, so you can collaborate with confidence.
To Enable or Disable Limited Access Mode
- Go to the Dashboard
and select the Devices section.
- Click on the device you want to manage .
- Under Device Details, toggle the switch for Limited Access Mode.
Once enabled, a Locked icon will appear on that device’s card in the Dashboard.
User Experience in Limited Access Mode
When a device is placed in Limited Access Mode:
- A yellow banner appears at the top of the screen indicating that the device has been restricted.
- Clicking Learn More opens a notification explaining that Limited Access Mode was enabled by an administrator.
- The account owner’s email address will be shown so the user can request additional access if needed.
- If the user clicks the Account icon
, they’ll be routed to the same notification dialog.
- What Limited Access Mode Does

When active, Limited Access Mode overrides the assigned Space and enforces additional restrictions:
Content Restrictions
- Private media is hidden
- Automatically excludes any media tagged with the Private category.
- Adds “Not Private” as a filter to the device’s Space.
- Prevents actions related to Private media
- Removes the ability to mark media as Private:
- Removes Hide Photo from the Actions menu
- Removes Private from Tap to Categorize
- Hides the Categories section in the Info Panel
- Removes the ability to mark media as Private:
- Blocks switching to Private or Public Spaces
- Hides the Spaces menu in the app and in the View menu
Interface & Feature Restrictions
- Hides account and support settings
- Locks the Account icon
- Hides the Account section in Settings
- Removes from Help menu:
- Show Support Options on Startup
- Console access
- Disables advanced management tools
- Hides the Dashboard
- Hides the Spaces Switcher, Sync Panel, Storage Panel, and Settings
- External Changes Policy is enforced
- Locked to Remove original copy on this device only to prevent accidental data loss
- Prevents file system-level actions
- Disables Show in Finder/Explorer to avoid folder structure changes
- Users can instead copy media using Copy/Paste or Share to System Clipboard
Deletion Behavior
- Hides the Delete button
- Remaps the Delete and Shift+Delete keys to Reject in all views (except Albums)
- Allows the use of Show Rejected Photos
- Ensures Cleanup Rejected Photos command is updated accordingly
- Photo DeDupe and Photo DeClutter tools are hidden
- Private media is hidden
